Requesting Access

New end users must complete two requirements before a ShowMe WorldCare account can be created for them. 

  1. At least one ASAP approving access to reportable conditions must be received by the ShowMe WorldCare Help Desk. Instructions for completing an ASAP form are provided below. 
  2. Required trainings in the Clinisys University application must be completed. If a new end user has not been set up in Clinisys University at the point an approved ASAP is received by the SMWC Help Desk, an account will be created for them at that time. 

The ASAP system is managed by ITSD. Individuals who are unable to log into ASAP must contact the ITSD Help Desk for assistance. 

  • Once logged into ASAP, select Completing for Self. Click Next
  • Choose Health Applications as the Area Type.
  • Under Request Type, select the type of access needed. A user may need to submit more than one ASAP request if multiple types of access are needed. (A list of conditions included in each grouping is provided in Appendix B of this manual.)
    • To access environmental conditions such as lead, other heavy metals, or occupational respiratory diseases, select ShowMe WorldCare: Environmental Conditions.
    • To access conditions such as HIV/AIDS, Hepatitis, Syphilis, Gonorrhea, or Chlamydia, select ShowMe WorldCare: HIV/STD/Hepatitis B-C Conditions.
    • To access most other reportable conditions, select ShowMe WorldCare: General Communicable Disease Conditions
    • The ShowMe WorldCare: Data Warehouse option should only be selected AFTER a ShowMe WorldCare account has already been created for the user. ASAP requests received for individuals without an active ShowMe WorldCare account already in place will be denied.
    • The ShowMe WorldCare: System Administration option should be used only by limited staff at DHSS responsible for building and maintaining ShowMe WorldCare or responding to Help Desk tickets. 
  • Select the Role based on job duties. 
    • If multiple ASAP requests are submitted, the same Role MUST be selected on each request as only one role can be assigned in SMWC. 
    • The only roles available for LPHA staff are Basic Role (which will apply to most users), the Research/Reporting (VIEW ONLY) role, and the Lead Risk Assessor role (for those who only perform lead site investigations and do not need any other conditions). 
  • Under Other Role/Report Type, select Default.
  • The Investigator option should be selected for individuals who will need cases assigned to them. This will place the individual’s name as an option in the investigator assignment list within SMWC. Individuals who will not be assigned cases should select the Not an Investigator option.
  • Under Conditions, select all condition groups needed. Multiple conditions may be selected by pressing the CTRL key while clicking on the options. 
  • Under Comments and/or reason for requesting access, provide any information that will assist the program in evaluating the need for access to the conditions selected. If working for multiple agencies, note the various agencies and the role at each. 
  • Enter the current date for the Effective Date.
  • The user’s default jurisdiction based on their agency should be listed in a table near the bottom of the ASAP form. If access to additional jurisdictions is necessary, select the additional jurisdictions needed using the Add Jurisdiction drop-down list. Please note that by default each agency is granted access only to records for their residents. Blanket sharing of records across agencies requires a signed agreement between the two agencies. To inquire if a specific agency has such an agreement in place or to request the template for this agreement, submit a SMWC Help Desk ticket.  
  • The question regarding entering regional data can be left at No. Local public health agencies will be granted access to only their jurisdiction and DHSS staff will be granted statewide access.
  • Once all items are completed, read the statement at the bottom of the form and click I Agree. Then click Submit form.

PLEASE NOTE:

  • Once the ASAP form is submitted, it must be approved or denied by the local security officer (LSO) at the agency before DHSS programs or the ShowMe WorldCare team can access it. 
  • After the LSO approves a request for environmental, general communicable disease, or HIV/STD/Hepatitis B-C conditions, the request then routes to the appropriate program at DHSS. The ShowMe WorldCare team cannot see these requests until they are approved or denied by the program.
  • The ShowMe WorldCare team reviews incoming ASAP requests and checks for newly completed Clinisys University trainings once per day. 

Logging into ShowMe WorldCare

All users must log into ShowMe WorldCare using Okta, which is the State of Missouri’s Single Sign-on (SSO) application. To log in, click the Okta button at the top of the screen. Additional information about logging into ShowMe WorldCare using Okta, as well as how to create an Okta account if needed, is provided to all new system users in a welcome email.
