  1. Returned Food Instruments (FI) - This information is to clarify the proper procedure to follow in HANDS for any food instrument that is being returned to the agency.

Expired:  Do not key the FI as void (7) on the H418 screen. The system will automatically process the FI with an "issued-never redeemed status". This is the true status of that food instrument.

Not Expired:  If it is being replaced with another food instrument, must be keyed as void (7) on the H418 screen.

If you have any questions about this procedure, please call Melissa Seaver at 1-800-392-8209 or e-mail melissa.seaver@health.mo.gov.

  1. Nutrition Education Codes - As presented in August Program Updates Training you were informed of the new 2-letter nutrition education codes. The purpose of the change is to make it easier to assign appropriate nutrition education codes by grouping nutrition education topics and thus decreasing the number of codes available. Specific information on keying in the new screen will be available in the September 11, 2006, Monday Updates. By September 15, local WIC providers must enter all current nutrition education contacts, before the 2-digit nutrition education codes and HWHN screen become obsolete. During the week of September 18 - 22, current nutrition education codes must be keyed as soon as possible after the education is given so that they get into the system.

Effective September 25, 2006, all agencies must enter participant's nutrition education contacts in HANDS using the new (2-letter) codes on the revised Nutrition Education Entry (HWNE) screen, after each scheduled appointment and no later than 30 days of the actual contact. Attached are the following:  ER# 2.06100 policy, doc the New Nutrition Education Codes and Process of Delivering Effective Nutrition Education in WIC (Figure 1). If you have any questions regarding this information, please contact D'Anne Ward at 1-800-392-8209 or e-mail danne.ward@health.mo.gov.
  1. Extra Formula - A database listing unused infant formulas and medical foods is kept at the State WIC Office. With the implementation of the approval authority for many infant formulas and medical foods now at the local level the State Office may not always know what is available. Please be sure to notify your district nutritionist or D'Anne Ward (danne.ward@health.mo.gov) when you have unused formula available at your agency so it may be added to the database. The listing will be sent out on a monthly basis so you are kept up-to-date on what is available at other LWPs.

Please check the listing in order to utilize formulas with the most recent expiration date first, prior to placing an order, to help keep food costs down. Attached is a current listing of extra formula available at different LWPs and guiding principles for shipping created to assist you when sending or receiving extra supply of infant formula. If you have any questions regarding this information, please contact D'Anne Ward at 1-800-392-8209 or e-mail danne.ward@health.mo.gov.
  1. Shipping Plan For Updated WIC Forms - The State WIC office will begin shipping a 1-2 month supply of the following forms (10-06 version) to all local WIC providers during the week of September 11, 2006:
    1. WIC CERTIFICATION - WOMAN (WIC-1)
    2. WIC CERTIFICATION - INFANT/CHILD (WIC-2)
    3. WIC PROOF OF ELIGIBILITY (WIC-30)
    4. REQUIRED SIGNATURE STATEMENT-ENGLISH (WIC-10-EN)

Local WIC providers must begin using the 10-06 version of each of these forms effective October 1, 2006. Please destroy any old version of these forms. The forms above are available at the DHSS warehouse. Please order additional forms from the DHSS warehouse using the WIC Supply Request Form (WIC 8 form) as needed.

If your agency is a Direct Entry agency, you must use the WIC 10 form (10-06 version) to print the HWPR screen (Summary of Certification). If your agency needs a PDF version of WIC-10-EN form, please e-mail Reba.Brown@health.mo.gov. The WIC-10-EN is being translated into nine languages and will be e-mailed to LWPs when they become available. If you have any questions, please contact Takako Tagami at 1-800-392-8209 or e-mail Takako.Tagami@health.mo.gov.
